LyCare: Care Operations Software

One web app for senior living communities, foster group homes and in-home care agencies. Staff record and coordinate daily care, managers see how every facility is doing, and outside partners such as lawyers and guardians ad litem get limited, logged access to exactly the records they are entitled to.
Sign up for a free view-only account and look around an example organization with every care module switched on.

Who LyCare is for

LyCare is care operations software for three kinds of organization. Each company can rename its residents (Clients in home care, Youth in group homes) and rename modules to match the words its people already use.

Senior living communities

Four med passes a day with a full medication administration record, dining with diet and texture profiles, clinician visit days that move room to room, family links, and a dashboard of occupancy, doses given and meal intake for every community.

Foster group homes

Case plans with permanency goals, court hearings and court report deadlines, caseworker contacts with overdue flags, restraint records that file their own incident, allowance ledgers, and controlled sharing with guardians ad litem and lawyers.

In-home care agencies

Service plans with authorized hours per week, home visits where the caregiver checks in and out at the door with time and phone location, care-plan task codes, and exception lists for late, short or missed check-ins.
Built around the people who do the work: company admins, facility managers, doctors and clinicians, nurses, caregivers, counselors and social workers, home caregivers, clinical supervisors and partner lawyers. Managers land on the Dashboard; everyone else starts their shift on My day, which shows today’s appointments, what is waiting on them, incident deadlines and the current med pass.

What LyCare does

Every module follows the same rules for permissions, facility scope, history and notifications.

Dashboard for every facility

Residents, occupancy, percent of doses given, average meal intake, incidents, staff compliance and visits done, over 7, 30 or 90 days. A Needs attention list links straight to late doses, expired requirements and overdue tasks, and admins see facilities side by side.

Medications and the MAR

Morning, noon, evening and bedtime passes by room. Doses are given, refused, held or not available with a reason; a dose more than an hour overdue is late everywhere. Controlled drugs need a witness, PRN doses get a pain score and a follow-up an hour later, and undo stays in the history.

Medication safety checks

New and existing orders are checked against recorded allergies, known interactions and duplicate therapies, graded Allergy, Major or Moderate. An order with warnings can only be saved with a note of who reviewed it and why it stands, and the pharmacist still reviews.

Barcode scanning and supply

Scan the resident’s wristband and then each package with a USB or Bluetooth scanner or a phone camera. A wrong medicine shows a red STOP. Orders track the count on hand and days left, and staff get one daily digest of medicines running low.

Medical visits

Book a whole clinician day in one go. Eligibility rules by payer, age and state grey out residents who cannot be booked and say why. Each resident gets a time slot automatically, and the clinician works a queue of procedure codes, findings, notes and photos.

Dining and low intake

Diet profiles with IDDSI texture and liquid levels and food allergies. Staff tap where each person ate and how much. Low intake (three meals averaging under half, or two refused) is flagged on the resident and the dashboard, and nurses are told once a day.

Incidents with deadlines

A rules engine works out who must be told and by when, from the state, care type, incident type and severity, and turns each into a countdown. Every rule names its regulation and shows when it was last verified. State PDF forms print filled in.

Logbook with signatures

Template-driven entries with the fields each organization needs. Staff sign with one tap, editing an entry clears its signatures, and approvers are notified once every required signature is in. Approval locks the entry.

Staff compliance

Requirements are assigned by state and facility. Staff submit details and documents, a manager approves or declines, approval sets the expiry, and both the person and their managers hear about it before anything lapses. Export the overview to CSV.

Group home case work

Goals by area with progress and dated notes, court hearings on the calendar with reminders, caseworker visit clocks, restraint reviews by an uninvolved manager, and allowance ledgers with spending and savings balances.

Partner portal

Share chosen sections of a resident’s record with a lawyer or guardian ad litem, with the legal basis, a reference number and an end date. Partners can send requests and upload documents. Every view and download is logged, and clinical notes are never shared.

Tasks, calendar, jobs and reports

Recurring tasks with subtasks and owners, a calendar of shifts, meetings, training and expiries, numbered work orders linked to rooms, and PDF reports whose downloads are logged.

AI built into LyCare

LyCare uses Anthropic’s Claude for two jobs, and it is careful about both. AI reads only what the person asking is allowed to see, and it never changes a record.

Ask LyCare

Ask questions in plain English, such as “Who has had low intake this week?”, “Any medication problems today?” or “Which families aren’t housed together?” Answers come only from tools that read the records the asker may see, and every name links to its record.

Incident drafting

Type or dictate what happened and press Draft report. The AI fills in the incident form and lists what the state report still needs. Staff check everything before it is saved, so a person always owns the report.

Every request on the record

Each AI request records who asked, what they asked, which tools ran and which residents came back. Facility scope applies to AI answers exactly as it does to lists and reports. Calls go to Anthropic’s API directly with the company’s own key.

How LyCare is built

The engineering decisions that make care operations software trustworthy for the people using it every shift.

Multi-tenant from day one

Every record belongs to a company, and companies never see each other’s data. Facilities sit inside a company, and each facility’s US state decides which incident and compliance rules apply.

Permissions on the server

Groups grant read, create, edit and delete on each module, and every module checks them on the server. Facility scope applies to lists, records, dashboards, files, reports, search, AI answers and notifications.

One definition of late

The same rule drives the med pass, resident alerts, My day, the dashboard, the AI and notifications, so no two screens ever disagree about which doses are late.

Configurable without code

Rename modules and resident terms, add custom tabs and fields from a fields library, and switch logbook, compliance and incident templates on per company and per facility.

Audit trail everywhere

Per-record history, medication records including undo, home-visit check-ins, the partner access log, report downloads, company switches by platform staff, log-in-as sessions and AI requests.

Secure by default

Passwords of 12 or more characters with breached passwords refused, optional or enforced two-factor authentication, encrypted clinical notes, and private files streamed only after the same checks as their record.

Notifications that fit the role

A bell and email, urgent items first, with an optional daily digest. Floor-level alerts such as late doses go only to that facility’s staff. Time-based checks run on a schedule and whenever people use the app.

Billing through Stripe

One subscription per company in tiers by facilities, residents and users. Subscribing uses Stripe’s secure checkout, and a plan change is refused if the company already uses more than the new tier allows.

Scanning in the browser

Barcode scanning works with a USB or Bluetooth scanner or a phone or tablet camera in Chrome or Edge, and LyCare prints its own wristband and package labels.

Build something like this

LyCare shows how Lycore approaches software for people-heavy operations: permissions that hold on every screen, an audit trail by default, and AI that reads only what it should.
